Reporting to: Director, Education and Impact
Location: WSB Asia-Pacific Support Centre, Makati City, Metro Manila, Philippines (Flexible working
arrangements, including remote work, may be considered for qualified candidates, especially
those based in countries where the Ticket to Life (TTL) project is currently implemented.)
Duration: One (1) year with six (6) months probationary period
The Project Assistant, Education and Impact is part of the Education and Impact Cluster within the Member Support Practice Team at the World Scout Bureau Asia-Pacific Support Centre.
This role is primarily responsible for providing administrative, coordination, and technical support for the effective implementation of the Ticket to Life Project across the Asia-Pacific Region. In addition, the Project Assistant will support the delivery of regional initiatives aligned with the Asia-Pacific Regional Plan, particularly those under the thematic priorities of the Education and Impact area.
Key Functional Responsibilities
The main responsibility of the Project Assistant providing administrative, coordination, and technical support for the effective implementation of the Ticket to Life Project across the Asia-Pacific Region. Below are the specific functions:
Project Coordination and Monitoring
Provide day-to-day administrative and logistical support in the implementation of the Ticket to Life Project.
Assist in tracking project progress, maintaining organized and high-quality databases, and preparing regular reports to support decision-making and performance monitoring.
Identify and help address implementation challenges to ensure annual targets are met within available resources.
Coordinate with National Scout Organizations (NSOs) to establish a regular meeting schedule with the National Coordinator to support effective project coordination, monitoring, and communication.
Impact Documentation and Communications
Collect, format, and curate case studies and success stories from participating NSOs for evidence-based reporting.
Draft and publish project news and updates on scout.org and WOSM social media platforms, in coordination with the Communications Team.
Contribute to the preparation of internal and external materials that highlight project outcomes and organizational learning.
Support to Thematic Priorities and Volunteer Management
Assist in implementing regional initiatives under the Education and Impact priorities, particularly Diversity and Inclusion, Scouting in Humanitarian Action, and Spiritual Development
Support the coordination and engagement of WOSM volunteers working in these areas, including managing communications, tracking deliverables, and ensuring timely follow-up
Member Support and Event Coordination
Provide basic correspondence and documentation assistance related to Member Support services.
Offer secretarial and coordination support for workshops, trainings, and regional events, including preparation, real-time documentation, and post-event reporting.
Collaborate with other clusters and teams to ensure aligned and efficient service delivery to NSOs.
5. Other Responsibilities
Undertake special tasks and provide assistance on cross-cutting initiatives as assigned by the Line Manager and/or the Regional Director.

Detailed Job Knowledge Specification
Educational Background
A degree or equivalent qualification in a field relevant to the Education and Impact thematic areas (e.g., Education, Social Development, Humanitarian Action, Diversity and Inclusion).
Additional qualifications or certification in project management are highly desirable.
Professional Experience
At least 1-2 years of experience in capacity building, preferably within volunteer-based or membership organizations.
Demonstrated familiarity with the full project management cycle-planning, implementation, monitoring, and reporting-is highly desirable.
Proven experience (1-2 years) in supporting or managing complex projects involving multiple stakeholders, ideally in an international or multicultural context.
Experience with the Ticket to Life project is an advantage. The project is currently implemented in the Asia-Pacific Region across Bangladesh, Bhutan, India, Indonesia, Nepal, the Philippines, and Sri Lanka.
Communication and Language Skills
Strong written and verbal communication skills in English are essential.
Proficiency in any additional official World Scouting language (Arabic, French, or Spanish) is considered an asset.
Demonstrated familiarity with the full project management cycle-planning, implementation, monitoring, and reporting-is highly desirable.
Digitally literate, with the ability to use common productivity tools (e.g., Microsoft Office, Google Workspace), social media, and online collaboration platforms effectively.

Summary of Employment
This is a project-based appointment under a fixed-term contract of one (1) year, with an initial six-month probationary period subject to satisfactory performance.
The position is based at the World Scout Bureau Asia-Pacific Support Centre, Makati City, Philippines. Flexible working arrangements, including remote work, may be considered for qualified candidates, especially those based in countries where the Ticket to Life (TTL) project is currently implemented.
Working Hours:
The standard work schedule is 40 hours per week, Monday to Friday. However, the nature of the role may require flexibility, including evening and weekend work as needed to fulfill project requirements.
Compensation and Benefits:
Salary will be commensurate with the level of responsibility and paid bi-monthly, on the 15th and last day of each month.

Leave entitlement Includes 15 days each of paid vacation leave, and sick leave per annum, plus official public holidays observed in the Philippines or in the home country of the successful candidate, compensation leave of 1:1 for work rendered on weekends or holidays.
